Red: training achieved, workplace development still matters
The trained operator stage records successful assessment of the relevant theory and practical skills. It does not remove the employer’s responsibility to supervise appropriately, authorise operation and provide familiarisation with the machines and tasks in use.
Plan what work the operator will do after training. Someone who has passed an assessment but has no opportunity to use that category cannot build the same workplace evidence as a person regularly carrying out suitable tasks. Discuss that access before planning progression.
Blue: the vocational qualification and its evidence
Competent operator status follows a relevant vocational qualification, such as an NVQ or SVQ, supported by evidence gathered in the workplace. The site already describes observations, witness testimony, job records and professional discussion as ways to demonstrate competence.
The evidence should relate to the category being claimed. A photograph of a machine in a yard is not the same as a record of the operator carrying out a relevant task. Keep records that identify the work, equipment and operator rather than relying on a general statement that somebody is experienced.

Progression is not the same as renewing a card
Progression changes operator status. Renewal keeps an existing registration current under the conditions NPORS applies to that card type. A refresher can address skill gaps, but it should not be described as automatically replacing the vocational qualification required for competent operator status.
Read the date printed on the card and ask which conditions apply to the registration. This page deliberately does not transfer CPCS Red or Blue validity rules onto NPORS: similar colours belong to separate schemes and are not evidence of identical deadlines.
When records are missing or the card has expired
Give the provider the previous card details, categories and evidence of recent operation. Missing paperwork, a lapsed registration and a lack of recent machine use are different issues, so explain each rather than simply requesting a renewal.
A practical assessment or further training may be appropriate depending on the operator’s history and the applicable scheme requirements. Confirm the next step before scheduling work that relies on the card being current.
